It applies when you visit our website, complete a pathway assessment, contact our team, request information about our services or engage Beeva Pathways for professional support.

Technical and security information

  • Information needed to protect our website and forms from spam, misuse and unauthorised access
  • Limited technical information generated through normal website operation

We ask that you do not submit passport copies, bank statements, medical information or other highly sensitive documents through the initial online assessment form unless we specifically provide an appropriate secure process for doing so.

4. How We Collect Information

We may collect information directly from you when you:

  • Complete our Study in the UK assessment form
  • Submit an enquiry or request a consultation
  • Communicate with us by email, telephone or another authorised channel
  • Engage us to provide a service
  • Provide documents or information requested for an agreed service

We may also receive information from third parties where this is necessary, lawful and appropriately disclosed to you.

5. Why We Use Your Information

We use personal information to:

  1. Review your study, career or relocation enquiry.
  2. Understand your circumstances and preferences.
  3. Respond to your questions and communicate with you.
  4. Identify relevant education or service options for further discussion.
  5. Provide services you request or enter into an agreement to receive.
  6. Maintain necessary business and client records.
  7. Protect our website and assessment forms against spam, fraud and misuse.
  8. Comply with applicable legal and regulatory obligations.

Completing an assessment does not guarantee admission, a scholarship, employment, a visa or any particular outcome.

6. Lawful Bases for Processing

Where the UK GDPR applies, we identify an appropriate lawful basis for each processing purpose.

Depending on the circumstances, these may include:

Steps before entering into a contract: Where you request an assessment, quotation or service and processing your information is necessary to respond to that request.

Performance of a contract: Where we need information to provide services you have agreed to receive.

Legitimate interests: Where necessary and proportionate for responding to business enquiries, maintaining service records or protecting our website against misuse, after considering the rights and interests of individuals.

Legal obligations: Where we must retain or disclose information to comply with applicable law.

Consent: Where we specifically request consent for an activity that requires it, such as certain marketing communications.

The privacy acknowledgement on an assessment form confirms that you have been provided with privacy information. It does not automatically make consent the lawful basis for every use of your information.

We do not automatically add assessment applicants to marketing mailing lists.

7. Study in the UK Assessment Form

When you complete our Study in the UK assessment form, the information you submit is processed to help our team understand your educational background, study preferences, funding plans and support needs.

The website sends assessment information to Beeva Pathways through a protected server-side process.

We use Resend as an email delivery service to transmit assessment notifications to our authorised business inbox.

Assessment responses are not intended to be stored in a separate website applicant database under the current implementation. However, submitted information is contained in email messages and may be retained within the email systems used by Beeva Pathways and its service providers.

Our team may contact you using the details supplied to discuss your enquiry.

8. Service Providers and Information Sharing

We use third-party technology providers to operate our website and support business communications. These may include:

Resend: For transmitting assessment notification emails.

Upstash: For Redis-based security and rate limiting. The assessment system uses a cryptographically protected representation of an IP address to help limit repeated submissions.

Vercel: For website hosting and server-side processing.

Sanity: For managing website content. Under the current assessment implementation, Sanity is not intended to serve as the database for applicants' assessment responses.

Our email service provider: For receiving, accessing and retaining business correspondence and assessment notifications.

We may also share relevant information with universities, education providers or other third parties when necessary for an agreed service, with an appropriate lawful basis and suitable notice to you.

We do not sell applicants' personal information.

We do not disclose assessment information to unrelated third parties for their independent marketing purposes without an appropriate lawful basis.

9. International Processing and Transfers

Beeva Pathways serves individuals who may be located in different countries.

Personal information may be accessed or processed in Nigeria, the United Kingdom or other countries where our authorised providers operate.

Where UK GDPR international-transfer requirements apply, we will assess whether a transfer is covered by applicable adequacy regulations, appropriate contractual safeguards or another permitted mechanism.

We will provide information about relevant safeguards where required and on request.

10. How Long We Retain Information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, subject to applicable legal requirements.

Unsuccessful or inactive assessment enquiries: Our proposed standard retention period is 12 months from the last meaningful interaction, after which we will review the information and delete or anonymise it unless a documented lawful reason requires longer retention.

Active clients: Information will be retained for the period necessary to deliver the agreed services and for any applicable legal, accounting or dispute-resolution requirements.

Financial and contractual records: These may be retained for longer periods where required by applicable law.

Security and rate-limiting information: Technical identifiers will be retained according to the configured security controls and the relevant provider's applicable retention practices.

We will establish a regular review process for assessment emails and associated records, including relevant copies held in shared mailboxes, exports and other business systems.

Where information is no longer required, we will take reasonable steps to delete or anonymise it securely.

11. How We Protect Your Information

We take reasonable technical and organisational measures appropriate to the nature of the information processed.

These include controlled access to business systems, server-side handling of email delivery credentials, validation of online assessment submissions and measures designed to reduce automated or abusive form submissions.

No internet-based service can guarantee absolute security.

We encourage you not to send sensitive identity or financial documents through ordinary website enquiry forms.

12. Your Data Protection Rights

Depending on the laws applicable to your information and the circumstances of processing, you may have rights to:

  • Request access to your personal information.
  • Ask us to correct inaccurate information.
  • Request deletion of information where applicable.
  • Request restriction of certain processing.
  • Object to processing based on legitimate interests.
  • Request data portability where applicable.
  • Withdraw consent where processing relies on consent.
  • Raise a concern or complaint with a relevant data protection authority.

To exercise a right or ask a privacy-related question, email info@beevapathways.com.

We may need to verify your identity before responding to certain requests.

Where UK data protection law applies, you may also have the right to complain to the UK Information Commissioner's Office at https://ico.org.uk.

13. Marketing Communications

We will not treat completion of a pathway assessment as automatic permission to send promotional emails.

Where we offer newsletters, events or promotional communications, we will provide the relevant information and obtain consent where required by applicable law.

You may opt out of marketing communications at any time.

14. Cookies and Website Technologies

Our website may use technologies necessary for website operation, security and functionality.

If we introduce optional analytics, advertising or other non-essential cookies, we will review applicable consent and transparency requirements and update our cookie information and controls accordingly.

15. Information About Children

Our general online assessment services are intended for adults or individuals acting with appropriate parental or guardian involvement.

Where a service involves a child, we will assess what information is necessary and what additional protections, notices or permissions are required.

We do not encourage children to submit sensitive personal information independently through our general assessment form.

16. Third-Party Websites

Our website may contain links to universities, education providers, government services and other third-party websites.

Those websites operate under their own privacy policies. We encourage you to review their privacy information before submitting personal information.

17. Changes to This Privacy Policy

We may update this Privacy Policy when our services, technology providers, business practices or applicable legal requirements change.

The latest version will be published on our website with an updated date.

Where a change materially affects how we use personal information, we will provide additional notice where required.
